A practical daily close checklist for invoices, receipts, outstanding balances and exceptions.
Use one cut-off and one scope
Before comparing numbers, agree the date, time and location being reviewed. A branch report and a company-wide report can both be correct while showing different totals. Keep the same scope across the invoice list, payment list and outstanding balance review. Mark anything entered after the cut-off so it does not become tomorrow's unexplained difference.
Review today's documents
Look for unfinished drafts, duplicate references and unusual changes. Separate a saved draft from a posted or completed transaction. Review returns and cancellations with the person responsible, keeping their supporting record. Do not remove an entry simply to make a daily total look cleaner; use the approved correction workflow and preserve the reason.
Keep sales separate from collections
Sales and cash received answer different questions. A sale made today may be paid later. A receipt today may settle an older invoice. A refund or customer advance adds another distinction. Read each report using its stated meaning and trace unfamiliar amounts to the source. This guide is an operational checklist, not a substitute for your accountant's reconciliation procedure.
Check the money by payment method
Review cash, card, bank and other accepted methods separately. Compare each record with the appropriate evidence and your normal settlement timing. Card or bank settlement can occur later than the transaction date. Record the reason for any timing difference instead of forcing unrelated totals to match. Keep an exception list so unresolved items have a clear next action.
Give outstanding items an owner
Review part-paid invoices and overdue amounts using the relevant due dates. Assign a follow-up owner and a next review date. Verify the contact details and the invoice before contacting a customer. Avoid sending generic payment requests that do not reflect recent receipts or an agreed dispute.
Finish with an exception note
Write down the cut-off, scope, reviewed totals, unresolved items and who will follow up. Include any stock issue discovered during the day and confirm the backup or data-protection routine appropriate to your setup. A short, consistent close note is more useful than a long report that nobody checks.
